What clients actually want
Ask clients what frustrates them about working with a firm and the answers are rarely about the work itself. They're about the gaps around it:
- Not knowing what's happening. They email to ask for an update because there's nowhere to look.
- Sending documents by email, then wondering whether the right person got them.
- Booking a meeting through three rounds of "does Tuesday work?"
- Signing and paying through separate links, apps and logins.
- Finding what you sent them before, buried in their inbox.
A client portal fixes the gaps by giving every client one private place to sign in, under your firm's name.
What a client portal includes
| Need | What it looks like in a portal |
|---|---|
| Their own private area | Each client signs in and sees only their own messages, files and next steps |
| Messages and files | A private conversation with file and photo uploads, instead of email threads |
| Meetings | Clients book from your open times, with reminders and, if you want, a deposit to hold the slot |
| Video consults | Calls inside the portal, with nothing to install |
| Intake | Forms that collect what you need before the first meeting |
| Agreements | Engagement letters and service agreements signed online |
| Billing | Quotes, invoices, payment plans and monthly retainers |
| Guides and templates | A library of documents every client can read or download |
| Your team | Staff sign in with their own accounts and see only what their role needs |
Three ways to get one
| Option | Good for | Watch out for |
|---|---|---|
| The portal in your practice software For example, practice-management tools such as Clio | Firms that already run matters, time and billing there | Usually priced per user each month; the client-facing side is often less flexible and less branded than the back office |
| A rented portal tool SuiteDash, Copilot, Moxo, HoneyBook and others | Getting a portal running quickly | Monthly fees, often per user or per client; your brand and domain vary by plan; your clients' data sits in their system |
| Your own branded portal Deedmade™ | Firms that want their name, their domain and their own accounts | A one-time cost; it's the client-facing side, not a practice-management system |
These aren't always either-or. Many firms keep their practice-management software for the back office and give clients a separate, branded front door.
Renting vs owning, for a small firm
Portal tools usually price per user or per client, every month. The honest way to compare is to multiply the price you'd actually pay (with your team and client numbers) by 36, and see what three years costs. Then ask what you'd own at the end of it.
Owning flips that. With Deedmade™, you pay $2,499 once (the early-bird price until December 31, 2026; the regular price is $3,900), and adding staff or clients doesn't add a monthly fee. The running costs are the card fee on each sale (as anywhere), your domain, and Cloudflare hosting, which is free or about $5 a month with live features. The $49 a month care plan is optional, and so is listing your app in the App Store and Google Play ($99 a month).
What Deedmade™ covers, and what it doesn't
It's worth being precise, because client portals overlap with a lot of other software.
It covers the client-facing side:
- A private client area under your firm's name, on your own domain, with a members app clients add to their phone.
- Private conversations with file uploads, and a shared library of guides and forms.
- Booking with calendar sync, reminders and appointment deposits, and video calls inside the portal.
- Intake forms, e-signatures (start from a services contract or write your own), quotes, invoices and payment plans.
- Monthly plans and retainers, so a client can pay for ongoing help the same way every month.
- Team accounts with roles, and a website for the firm in any of our over 90 styles.
It doesn't replace:
- Practice-management software: matters, time recording, conflict checks and trust or client-money accounting.
- A document management system of record.
- Your own professional judgement about what can be shared, and how.
Ideas that work well
- Retainer clients get their own space with a monthly call booked in, their documents and a running conversation.
- Playbooks and programmes. Consultancies turn their method into a short course clients work through between calls.
- Subscription legal plans. A flat monthly price for routine help, where your rules allow it, with clients booking and messaging inside the portal.
- Intake before the first meeting, so the first hour is spent on the work, not the paperwork.
- Workshops and events for clients or prospects, with tickets sold on your website.
Setting it up
- List what clients ask you most. Those questions become your first library documents and your welcome message.
- Write your intake form and agreement once, so every new client goes through the same steps.
- Set your open times for calls, and whether booking needs a deposit.
- Invite a few existing clients first. Fix what confuses them before you move everyone.
- Make the portal the default. Reply to emailed documents with a link to the portal, kindly, until it becomes the habit.
See a working example on our pages for law firms and consultants and agencies, read how e-signatures work, or build yours free and click through your own portal before you pay anything.
Professional rules on client confidentiality, conflicts and record keeping are yours to check with your bar, professional body or regulator. Deedmade™ doesn't certify compliance with any regulation, and nothing here is legal advice.
Questions people ask
What is a client portal?
A private, signed-in area where each client sees their own messages, documents, meetings, agreements and invoices, instead of finding them across email threads and separate apps.
Is a client portal worth it for a small firm?
Usually, once you have more than a handful of active clients: fewer status emails, fewer lost documents, faster signatures and payments. Start with your most active clients and expand from there.
Can clients sign agreements and pay invoices in the portal?
In a Deedmade™ portal, yes: e-signatures, quotes, invoices, payment plans and monthly retainers are all included, paid through your own Stripe account.
Can the portal use my firm's name and domain?
Yes. It runs on your own domain, with your name and logo, and clients add it to their phone with your icon.
Does a client portal make my firm compliant with confidentiality rules?
No software does that on its own. Deedmade™ doesn't certify compliance with any regulation. Check your professional rules with your bar, professional body or regulator, and decide what belongs in the portal on that basis.
Does it replace practice-management software?
No. It's the client-facing side: portal, messages, booking, intake, signatures and billing. Matters, time recording, conflict checks and trust accounting stay in your practice-management software.
